Automations

An automation is a simple rule: this template, for this record, at this cadence, delivered this way. DokKraft issues the document at every due date — a customer's monthly invoice, a weekly report, a yearly certificate — with its number, its PDF and its filing, then delivers it. You set it up once, the application repeats.

Where to find automations

The Automations entry in the sidebar opens the control page. You can also start a rule from its natural starting point:

  • Automate on a library template: the wizard opens with that template preselected.
  • Automate on a registry record: the customer is already chosen.

The wizard: four steps

  1. The document — pick the template to generate and the destination folder (browse the tree or search by name): every issued document will be filed there.
  2. The cadence — "every week", "every month", "every quarter" or "every year", with shortcuts (first of the month, last day of the month, every Monday…), the time and the time zone. Advanced settings bound the series (first issue, last issue, or stop after N issues). A preview shows the upcoming occurrences — provisional numbers included; a day of 29, 30 or 31 falls on the last day of shorter months. A "once only" mode schedules a single issue at a given date.
  3. The data — the generation form pre-filled for recurrence: each document's name is a pattern (Contract — {{fiche.nom}}), the date and number are automatic, table rows are frozen for every occurrence. The chosen record is re-read at every issue: a changed address or rate is picked up without touching the rule.
  4. The delivery — the delivery mode, and a one-sentence recap before activating.

Delivery

Three modes, chosen at the "Delivery" step:

  • Issue and alert me — the document is generated and numbered, and a notification invites you to review it before anything is sent.
  • Issue and send automatically — the PDF is e-mailed to the recipient (often {{fiche.email}}), with the subject and an optional message: the {{fiche.*}}, {{document.numero}} and {{document.date}} variables are replaced at every occurrence.
  • Issue only — the document waits in its folder, for manual sending or through the API.

The After sending option decides the document's fate: keep the "Issued" status, or archive it automatically once the e-mail is actually delivered — the folder stays readable, with no manual work.

Reliability: pauses, resume, history

Nothing stops silently. An automation is paused automatically — and you are notified — when the plan's document quota is reached, after 3 consecutive delivery failures, or if its template is archived. You resume with one click once the cause is fixed.

Each rule shows its next issue (with a countdown) and its history: date, produced document, outcome and origin of the issue (scheduled, manual, test). The Run now button generates an immediate occurrence — handy for testing a freshly created rule. The page updates in real time.

Plan limits

The number of active automations follows the workspace's plan: Free 1, Starter 10, Pro and Business unlimited.

To react to issues from your own tools, the automation.run.completed webhook event signals every processed occurrence — see the webhooks reference.
