What a good quote looks like
A quote should be readable in one minute and leave nothing open to interpretation. Make sure your template shows:
- Your business identity: name, address, legal form, registration numbers and tax identification.
- The client's details: at least name and billing address.
- Issue date and a unique quote number, for tracking.
- Itemized services: precise description, quantity, unit price, line subtotals.
- Totals: subtotal, tax (with the rate applied) and grand total.
- Validity period, plus payment and delivery terms where relevant.
From accepted quote to invoice
The signed quote is your purchase order: keep it, it documents the client's agreement on price and scope. When you deliver, the invoice naturally mirrors the quote's lines — the quote/invoice pair is what protects your cash flow and settles disputes.
For ongoing engagements, a service contract complements quotes by framing duration, notice periods and confidentiality.
